Position Summary
We are seeking an experienced Xactimate Estimator / Office Manager to play a key role in our growing restoration company. This position is ideal for someone highly proficient in Xactimate and experienced in handling large loss estimates, including fire, water, mold, contents, and full reconstruction.

This is an in-house role for a candidate who has worked (or is currently working) within a restoration company and understands the pace, expectations, and standards of the industry. In addition to estimating, this individual will assist with day-to-day operations, helping support and streamline office and project workflows.

Key Responsibilities

  • Inspect and scope jobs onsite in coordination with Project Managers, Crew Chiefs, and Lead Technicians

  • Create detailed mitigation and reconstruction estimates in Xactimate (large loss experience required)

  • Document losses with clear photos, notes, and proper file organization within company systems

  • Ensure all job documentation (photos, notes, signed documents) is complete and accurate

  • Communicate effectively with insurance carriers, adjusters, and clients; act as a liaison throughout the claim process

  • Manage and revise estimates based on carrier feedback and audit standards

  • Perform accurate quantity takeoffs, labor, and equipment cost analysis

  • Maintain records of drying and job progress using mobile software

  • Review project estimates with the construction and operations teams

  • Assist with daily office operations and administrative tasks, supporting overall business workflow

  • Help manage and improve internal processes to keep operations running efficiently

Requirements

  • Advanced proficiency in Xactimate (REQUIRED — no exceptions)

  • Proven experience writing large loss estimates (fire, water, mold, contents, reconstruction)

  • Prior experience working for a restoration company strongly preferred

  • Strong understanding of insurance restoration and carrier guidelines

  • Background in construction, including knowledge of building materials and systems

  • Highly organized, detail-oriented, and able to manage multiple projects

  • Strong communication and problem-solving skills

Compensation: $80,000.00 - $115,000.00 per year
